INFORMATION ABOUT THE PROCESSING OF PERSONAL DATA OF
PARTICIPANTS

2. Purpose and Legal Basis for Data Processing
Your personal data is processed for the purposes of organizing events, training, seminars,
meetings, and conferences (hereinafter referred to as the event) under the projects LIFE SIP
Water, LIFE IP PAF-NATURALIT, and LIFE IP EnerLIT.
The legal basis for data processing includes:
– Execution of the project contract (Regulation Article 6(1)(b));
– Performance of public authority functions assigned to the Agency (Regulation Article
6(1)(e));
– Consent for participants not associated with project contract execution (Regulation Article
6(1)(a)).
During events, photos or video recordings may be made based on your consent. If you do
not wish to be photographed or recorded, please inform the event organizers.
Photos and videos taken during the event may be used for project implementation,
publicity, and expense justification without additional consent. They may be published on
the Agency’s and project’s social media pages, websites, and reports.
3. Processed Personal Data
The Agency processes the following personal data for event organization:
– Identification data: name, surname, workplace, position;
– Contact data: email address, phone number;
– Other data provided in the registration form (e.g., dietary preferences, accommodation
needs).
For expense justification, the following data may also be processed:
– Identification data: name, surname, workplace, signature;
– Contact data: email address;
If a participant delivers a presentation, data such as name, surname, position, presentation
topic, and content may be processed.
If video recording is conducted, the image of participants may also be processed.
4. Sources of Personal Data
The Agency processes personal data provided directly or indirectly during registration or
participation in the event.
5. Recipients of Personal Data
Personal data may be transferred to:
– Competent authorities, audit, or law enforcement institutions in compliance with legal
requirements;
– Data processors contracted by the Agency (e.g., IT companies, email service providers,
event organizers);
– The European Commission and its authorized institutions for project evaluation.
Photos or videos from events may be published on the Agency’s website https://apva.lrv.lt,
project websites, or social media (Facebook, YouTube, LinkedIn).

In some cases, personal data may be transferred outside the EU/EEA, subject to compliance

6. Retention Period for Personal Data
Personal data is stored in accordance with the General Document Retention Index approved
by the Chief Archivist of Lithuania.
Personal data provided in the registration form will be processed for the duration of the
event organization.
7. Rights of Data Subjects
You have the following rights:
– To be informed about data processing at the Agency;
– To access your personal data (Regulation Article 15);
– To rectify inaccurate or incomplete personal data (Regulation Article 16);
– To request deletion of personal data (Regulation Article 17);
– To restrict processing in certain cases (Regulation Article 18(1));
– To object to data processing (Regulation Article 21);
– To data portability (Regulation Article 20);
– To withdraw consent at any time, where processing is based on consent (Regulation
Article 6(1)(a)).
You can submit complaints to the State Data Protection Inspectorate (https://vdai.lrv.lt) if
you believe your data is processed unlawfully.
Requests regarding data subject rights can be submitted in accordance with the Agency’s
procedures published on its website.
